Integrated Project Management and Controlling System

ABSTRACT:

An integrated system combines project management or project planning, with many other aspects of company life. For example, projects can have tracking issues assigned to each project, the list of project customers becomes a customer   relationship module, and each person on the project plan has their own task lists, calendars, and messaging functionality associated with their projects. Similarly, specialized tools like source Forge integrate project management software with source control software and bug-tracking software, so that each piece of information can be integrated into the same system. Some organizations are just getting started with project management. Others have reached a level of maturity whereby project management has become a way of life. In the leading organizations, project management is aligned with and integratedinto the company’s business goals and objectives. No longer, the individual responsibility of the project manager, top management is taking more responsibility for driving the company’s project management strategies.

This project entitled “Integrated Project Management and Controlling System” aims at managing all project related information, handling project documentation and communication between all team members. At the same time project manager and controller need current information about the utilization of team members and the caused costs at all time. All team members should be informed of project changes to avoid time-consuming enquiries. Changes to the project documentation should be possible easily and from everywhere. As projects  become more and more complex, there is  a high demand in managing all project related information, handling project documentation and communication between all team members. However there is a lack of a comprehensive tool which will help us manage project related information between all team members simultaneously.

EXISTING SYSTEM:

Project management began to mature in virtually all types of organizations, including those firms that were project-driven, those that were non-project-driven, and hybrids.  Knowledge concerning the benefits project management offered now permeated all levels of management.  Firman mentioned, “There is a need to fundamentally change the project management philosophy of theindustry. Existing system is a manual one in which students has to search for the college from manually from newspapers and by going to the college to get details of the college.

DISADVANTAGES OF EXISTING SYSTEM:

The following are the disadvantages of the existing system

• It is difficult to get the information about group of members in the project .
• More manual hours need to generate required reports.
• It is tedious to Know the  details concerned with project
• Updates of college Details is difficult to maintain.

PROPOSED SYSTEM:

One challenge in the project management is smooth and lossless communication between all project members. They should be on the same level of information and be noticed of any changes at all time. In order to do so no additional effort should be necessary for the team members. Automatic project specific email distribution lists keep you update to date about all important changes made to your project, e.g. changed to the time table or the status of a task, new project information or new or modified documents

ADVANTAGES OF PROPOSED SYSTEM:

The only requirement on the client side is to connect his computer to the intranet on which the hosting server is running and have this integrated project management system installed in the computer.

Project Planning

This module helps us to register user. As projects  become more and more complex, there is  a high demand in managing all project related information, handling project documentation and communication between all team members. However there is a lack of a comprehensive tool which will help us manage project related information between all team members simultaneously.

Project Documentation

Do you also have to look on your server, in your email archive or on you laptop to find important documents for your project meeting? And after all three of your team members come up with three different versions of this document? This project saves project relevant information and documents in a structured way – fitting your project plan. So the whole project team has access to all relevant data – the same data! You can access, change and add all project information via browser. Various search options will help you to keep an overview of your projects.

Project Controlling

You need the actual times needed and costs for the after-calculation of your projects? Your customers expect to get a time and cost listing when they get their bill? You don’t want to wait until all team members returned from customer’s site to the office to write down their working times? Just to get the actual status of your project. Collect all working times and project costs directly on site using a browser and IPMCS. Automatically generated reports will help you to keep your overview of the project’s progress, times and costs at any time.
