Visa Processing Management System

ABSTRACT:

The proposed “Visa Processing Management System” project is an automated system, which describes the visa application process. The government offers numerous visa types, such as the H1-visa and the Dependent visa. Obtaining a Visa, Visa issuance is a very objective and non-subjective decision. Every visa official has a list of requirements that applicants look for when applying for a visa. If they are met, the applicant will be granted the visa. Otherwise, the applicant does not qualify. It is the manner in which these requirements are met that gives the impression that a visa decision is subjective. The project’s goal is to demonstrate how an online visa processing management system can be faster and more efficient than the current system. We have described in great detail the workflow and dataflow of a visa management system in this report. This project is an important component of a larger border management system that monitors the identity of travellers entering or residing in a specific country. This project will handle various types of visas and generate reports about the applicants to determine whether they are eligible for the visa or not.

EXISTING SYSTEM:

The majority of existing visa management systems rely on manual labour. Visas are manually generated at a visa office. Applicants must submit hard copies of their documents to the visa office, which will store them at their local warehouse.
An HR Manager assigns an HR Executive to process the applicant data. This executive is responsible for receiving application files from the warehouse and adding his/her work (findings and eligibility checks) to the applicant file.
The application is then accepted or rejected based on the applicant’s eligibility.

DISADVANTAGES OF EXISTING SYSTEM:

The current system necessitates numerous manual entries.
Human error can occur during the process if manual entries are used.
Cash transactions take time to complete.
Storage space expands over time.
The transfer of credentials between departments is always subject to a time lag.
Labor costs are high.

PROPOSED SYSTEM:

In this project, we worked on the shortcomings of existing manual models. We used software-based systems to improve the process’s efficiency, reliability, security, and convenience.
The Visa Processing System (VPS) is a web-based tool that helps bridge the communication gap between the Visa Officer and the Applicant. Technology, particularly in the rapidly growing IT market, is changing at a breakneck pace; based on technology, it reduces the manual process of visa processing. This process will make visa processing very simple and quick, and the applicant will be able to apply for a visa, fill out an i20 form, and check the status of their visa in one sitting.
The main goal of this solution is to make visa processing as simple as possible. This system is designed with both parties, such as visa processing officers and applicants, in mind. The system enables applicants to apply for visas, i20 forms, and so on.

ADVANTAGES OF PROPOSED SYSTEM:

The proposed system automated manual processes such as visa application, status check, visa enquiry, executive assignment, file transfer, and so on.
Overall, automation results in a faster pace.
It lessens the workload associated with file transfer and storage.
It eliminates any mistakes made during the application process.
Any change in application data can be tracked, and any updates are reflected across the network almost instantly.
Online application portals make applying for a visa easier for any user.

MODULES DESCRIPTION:

Admin Module

This module is controlled by HR executive. The HR executive job is to controls the visa processing process which is assign by HR manager. HR manager job is to create the new HR executives and give the employee/officer their username and password details. HR executive details will be stored in employee database. The HR executive can view customer application about applying for new visa or the renewal of their existing visa, and they generate their application status report and their result report. The HR manager has the authority over HR executive. They can view application entries, enquiry details, result details, onsite arrival and departure details.

Visa processing module:

This module is considered as the main module. It processes the details of submitted application, details of passport, earlier visits, and their tour details. These processes are done by HR executive. When the applicant applies for visa their application will go under through the process of enquiry and interviews held by the consulates. These details are stored in this module, and the end result is also entered in this module.

Communication module:

This module contain the information about visa issuing date, flight date, Numbers of day spend abroad and returning date of the candidate. These details will be entered by HR executive. Candidate details are like why they need the visa and renewal request for visa. Candidate’s requests for renewal are viewed by HR Manager. Candidates can view their visa renewal information and visa process status in this module only.

Report Handler Module:

This module handles the reports of applicant application status which are handled by HR executives.
